1. Introduction

Yoshi Vet Care attaches the utmost importance to protecting Users' personal data. This page sets out the personal data collected, the purposes for which it is used, the recipients of the data, and the rights afforded to data subjects, in accordance with the GDPR.

3. Personal Data Collected

Yoshi Vet Care collects different categories of personal data depending on how the User interacts with the website and the services provided:

  • a) When booking a consultation or workshop (through the booking platform). The following are collected: full name, e-mail address, telephone number, address (in the case of home consultations), information about the User's pet that the User chooses to share (namely species, breed, age, symptoms or reason for the consultation), and any notes or special requests indicated on the booking form.
  • b) When contacting Yoshi Vet Care directly. Name, e-mail address, telephone number and the content of the message are collected whenever the User completes the contact form or contacts Yoshi Vet Care by e-mail, telephone or social media.
  • c) When accessing Academia Vet or other online content. Where account creation is required to access content, the User's name, e-mail address and password may be collected, the latter being stored in encrypted form.
  • d) Payment data. Should the services provided come to include online payment, this is processed directly by the relevant payment service provider (namely Stripe or PayPal); Yoshi Vet Care does not store the User's full payment card details.
  • e) Data collected automatically. While browsing the website, technical information may be collected automatically, namely the IP address, device and browser type, pages visited and time spent on the site, through cookies and similar technologies (see section 9).

Yoshi Vet Care does not request, nor intentionally process, special categories of personal data relating to data subjects (namely health data). Any health-related information shared concerns the User's pet, not the User's own state of health, and is nonetheless handled with the same degree of care and confidentiality.

4. Purposes of Processing

The personal data collected is used by Yoshi Vet Care for the following purposes:

  • Managing and confirming bookings for home consultations, online advisory sessions and workshops;
  • Providing the requested veterinary and advisory services, including contact before, during and after the consultation;
  • Providing and managing access to Academia Vet;
  • Responding to requests for information, queries or complaints submitted through the contact form, e-mail, telephone or social media;
  • Processing payments, where applicable;
  • Sending marketing communications (namely information about new workshops or content), solely with the User's prior consent, with the option to unsubscribe guaranteed at all times;
  • Complying with legal obligations, namely of a tax and accounting nature;
  • Improving the operation of the website and the quality of the services provided, including through statistical analysis, subject to prior consent for the use of cookies;
  • Preventing fraud and ensuring the security of Yoshi Vet Care's website and IT systems.

5. Legal Basis for Processing

Yoshi Vet Care's processing of personal data is based on one or more of the following legal grounds, depending on the purpose concerned:

  • Performance of a contract or pre-contractual steps — in connection with booking and receiving consultations, advisory sessions or workshops;
  • Consent — for sending marketing communications and for the use of non-essential cookies (functional, analytics and advertising);
  • Compliance with legal obligations — namely tax and invoicing obligations;
  • Legitimate interest — for responding to general enquiries, ensuring the security of the website, and improving the services provided, provided such interest does not override the fundamental rights and freedoms of data subjects.

Consent given by the User may be withdrawn at any time, without affecting the lawfulness of processing carried out on the basis of consent given prior to its withdrawal.

6. Online Booking Platform

Bookings for consultations, advisory sessions and workshops are managed through an online scheduling system integrated into Yoshi Vet Care's website.

This system stores booking data (name, contact details, date and time, notes) in the database hosted on the website's server, and may, depending on which features are enabled, rely on third-party services to support the booking process, namely:

  • Google Calendar / Google Meet — to synchronise the calendar and generate links for online sessions;
  • Zoom — as an alternative for conducting remote video sessions;
  • Stripe / PayPal — for processing online payments;
  • SMS/WhatsApp messaging services (namely via Twilio) — for booking reminders and confirmations, where this feature is enabled;
  • Automation and e-mail delivery tools — for automatic confirmations and appointment reminders.

The above integrations are used only when actually active within Yoshi Vet Care's system. In such cases, the data necessary for the relevant purpose (namely name and e-mail address, in order to generate a video call link) is shared with the relevant provider, which acts as a processor or as an independent controller, depending on the service, and is subject to its own privacy policies and data protection obligations.

7. Recipients of the Data

Yoshi Vet Care does not sell or transfer Users' personal data to third parties. Data is shared only where necessary, with:

  • Service providers that support Yoshi Vet Care's activities (website hosting, booking platform, e-mail delivery, payment processing, analytics tools), which act on Yoshi Vet Care's behalf, subject to instructions and data protection safeguards;
  • Public authorities, where required by law, court order, or necessary to protect Yoshi Vet Care's legitimate rights;
  • Other animal health professionals, only where necessary for the provision of the requested service (namely referrals) and with the User's knowledge.

8. International Data Transfers

Some of the service providers used by Yoshi Vet Care (namely Google, Stripe, PayPal, Zoom or Twilio) may process data outside the European Economic Area, namely in the United States of America. In such cases, Yoshi Vet Care ensures that adequate data protection safeguards are in place, such as Standard Contractual Clauses approved by the European Commission or other compliance mechanisms recognised under the GDPR.

9. Cookies

Yoshi Vet Care's website uses cookies, managed through a consent management tool that allows the User to accept or decline each category via the cookie banner shown on first visiting the site, according to the following categories:

  • Necessary — essential to the operation of the website and cannot be disabled;
  • Functional — enable additional features and personalisation;
  • Analytics — help us understand how the website is used, with a view to improving it;

  • Withdraw consent given, at any time, without affecting the lawfulness of processing carried out up to that point.
